1. Chúng tôi là ai

EWord là ứng dụng học từ vựng tiếng Anh qua trò chơi nối từ, do EWord Vietnam, địa chỉ Số 2A Phan Chu Trinh, TP Hồ Chí Minh, Việt Nam, mã số thuế 066094006573 ("EWord", "chúng tôi") vận hành. Chúng tôi là bên kiểm soát và xử lý dữ liệu cá nhân của bạn khi bạn dùng ứng dụng EWord và trang eword.pro.vn.

2. Độ tuổi

EWord dành cho người từ 16 tuổi trở lên. Chúng tôi không cố ý thu thập dữ liệu của người dưới 16 tuổi. Nếu biết một tài khoản thuộc về người dưới 16 tuổi mà không có đồng ý của cha mẹ, chúng tôi sẽ ngừng xử lý và xoá tài khoản đó. Cha mẹ có thể báo cho chúng tôi qua email ở mục 1.

3. Dữ liệu chúng tôi thu thập

Tài khoản

Mã định danh từ Google / Facebook / Apple; email (chỉ khi nhà cung cấp đã xác minh); tên và ảnh đại diện từ nhà cung cấp (dùng làm tên hiển thị ban đầu). Tài khoản Khách không có email.

Hồ sơ

Tên hiển thị, ảnh đại diện chọn trong bộ có sẵn, mã kết bạn, ngôn ngữ, múi giờ, mục tiêu học, trình độ, cài đặt âm thanh/thông báo, lựa chọn "Ẩn danh với người lạ".

Khai báo & đồng ý

Nhóm tuổi (dưới 16 / từ 16 — không thu ngày sinh), các lần đồng ý / rút đồng ý kèm thời điểm, địa chỉ IP, thông tin trình duyệt/ứng dụng, mã thiết bị.

Học tập

Kho từ, lịch sử ôn tập (gồm câu trả lời bạn gõ, thời gian trả lời), buổi học, bài xếp trình độ, chuỗi ngày học.

Trận đấu

Kết quả trận, từ đã chơi, điểm mùa, xếp hạng, sticker đã gửi, tín hiệu chống gian lận.

Xã hội

Bạn bè, lời mời, danh sách chặn, báo cáo bạn gửi hoặc bị gửi (lý do + ghi chú tối đa 300 ký tự).

Thiết bị

Mã cài đặt ứng dụng, hệ điều hành, phiên bản ứng dụng, mã nhận thông báo đẩy, trạng thái quyền thông báo.

Ví & mua hàng

Xu, vật phẩm, sổ giao dịch; khi có mua trong ứng dụng: mã giao dịch của Google Play / App Store (chúng tôi không nhận số thẻ).

Hoạt động

Ngày bạn mở ứng dụng trong 64 ngày gần nhất, nền tảng và phiên bản ứng dụng (dùng để tính số liệu gộp).

Kỹ thuật

Địa chỉ IP và nhật ký máy chủ, báo lỗi kỹ thuật (không gửi kèm dữ liệu cá nhân).

EWord không có trò chuyện bằng chữ giữa người chơi (chỉ có bộ sticker cố định) và không truy cập danh bạ, vị trí hay micro. Camera chỉ được dùng khi bạn bấm "Quét mã QR" để kết bạn; hình ảnh chỉ được xử lý trên máy để đọc mã, không được lưu hay gửi đi.

4. Mục đích sử dụng

1. Tạo và duy trì tài khoản, đăng nhập, đồng bộ tiến độ giữa các thiết bị.
2. Vận hành tính năng học (lịch ôn tập, buổi học) và trận đấu (ghép trận, tính điểm, xếp hạng).
3. Tính năng xã hội: bạn bè, thách đấu, bảng xếp hạng.
4. Gửi thông báo bạn đã bật (nhắc ôn, giữ chuỗi, lời mời…). Tin ưu đãi chỉ gửi khi bạn đồng ý (mặc định tắt).
5. An toàn cộng đồng: lọc tên, xử lý báo cáo, chống gian lận, khoá tài khoản vi phạm.
6. Thống kê gộp, ẩn danh để cải thiện sản phẩm (số người hoạt động theo ngày, tỉ lệ quay lại). Chúng tôi không dùng công cụ phân tích của bên thứ ba và không theo dõi bạn qua ứng dụng/trang web khác.
7. Xử lý mua hàng và hoàn tiền (khi có).
8. Tuân thủ pháp luật và giải quyết khiếu nại.

Chúng tôi không bán dữ liệu cá nhân và không dùng dữ liệu để quảng cáo cá nhân hoá. Ứng dụng hiện không hiển thị quảng cáo; nếu sau này có, chúng tôi sẽ cập nhật chính sách này và hỏi đồng ý khi pháp luật yêu cầu.

Chúng tôi xử lý dữ liệu cá nhân theo Luật Bảo vệ dữ liệu cá nhân số 91/2025/QH15 và các văn bản hướng dẫn thi hành.

5. Chia sẻ dữ liệu

Chúng tôi chỉ chia sẻ dữ liệu với bên cung cấp dịch vụ cần thiết để vận hành EWord, theo điều khoản xử lý dữ liệu của từng nhà cung cấp:

Nhà cung cấp hạ tầng đám mây — máy chủ đặt tại Việt Nam

Máy chủ ứng dụng, cơ sở dữ liệu, bản sao lưu — toàn bộ dữ liệu ở mục 3.

Amazon Web Services (S3, CloudFront)

Lưu và phát file âm thanh, gói nội dung từ điển — không có dữ liệu cá nhân; máy chủ phát nội dung nhận địa chỉ IP khi ứng dụng tải file.

Sentry (báo lỗi), Grafana Cloud (giám sát hệ thống) — máy chủ ở nước ngoài

Phát hiện và sửa lỗi kỹ thuật — thông báo lỗi, chỉ số hệ thống và nhật ký kỹ thuật đã loại bỏ dữ liệu cá nhân (không có email, tên, mã đăng nhập, nội dung bạn gõ); chỉ có mã người dùng ngẫu nhiên khi cần để tìm lỗi.

Google, Meta (Facebook), Apple

Đăng nhập — xác minh mã đăng nhập bạn gửi.

Google Firebase Cloud Messaging, Apple Push Notification

Gửi thông báo đẩy — mã nhận thông báo, nội dung thông báo.

Google (Gmail)

Gửi email hệ thống — địa chỉ email người nhận.

Google Play, App Store

Thanh toán (khi có) — theo chính sách của cửa hàng.

Người chơi khác thấy gì:

• Tên hiển thị, ảnh đại diện, khung và trang phục đang dùng, hạng và điểm mùa trên bảng xếp hạng.
• Mã kết bạn chỉ hiện cho bạn bè và người đang có lời mời kết bạn với bạn.
• Chi tiết trận đấu (từ đã chơi, điểm từng lượt) chỉ hai người trong trận xem được.
• Khi bật "Ẩn danh với người lạ", người không phải bạn bè chỉ thấy "Người chơi #xxxx", không có ảnh và mã kết bạn; bạn bè vẫn thấy tên thật của bạn.

Chúng tôi có thể cung cấp dữ liệu khi cơ quan nhà nước có thẩm quyền yêu cầu theo pháp luật.

6. Thời gian lưu

Tài khoản đang dùng

Tới khi bạn xoá tài khoản.

Sau khi bạn xoá tài khoản

Bạn chọn: xoá ngay — xoá vĩnh viễn ngay lập tức, không khôi phục được; hoặc xoá sau 30 ngày — ẩn ngay, đăng nhập lại trong 30 ngày để khôi phục, sau đó xoá vĩnh viễn (tài khoản Khách không khôi phục được).

Tài khoản Khách không mở ứng dụng

Tự động xoá vĩnh viễn sau 90 ngày không mở ứng dụng.

Kết quả trận đã chơi với người khác

Giữ, gắn với "Người chơi đã xoá tài khoản" (không còn tên, ảnh).

Bản ghi đồng ý và khai báo tuổi

3 năm ở dạng ẩn danh sau khi xoá tài khoản.

Báo cáo vi phạm và hồ sơ xử lý vi phạm

12 tháng sau khi xử lý xong / hết hiệu lực.

Tài khoản bị khoá vĩnh viễn

Xoá sau 180 ngày.

Thông báo trong hộp thư

30 ngày.

Lịch sử gửi thông báo đẩy

90 ngày.

Phiên đăng nhập

Hết hiệu lực sau 30 ngày không dùng; bản ghi xoá 90 ngày sau khi hết hiệu lực hoặc bị thu hồi.

Thiết bị nhận thông báo

Thu hồi sau 60 ngày không hoạt động; bản ghi xoá 90 ngày sau khi bị thu hồi.

Nhật ký diễn biến trận (để xem lại, xử lý báo cáo)

90 ngày (lâu hơn nếu trận đang bị báo cáo, tới khi xử lý xong).

Dữ liệu hoạt động theo ngày

64 ngày gần nhất.

Tín hiệu chống gian lận

90 ngày.

File xuất dữ liệu

24 giờ sau khi sẵn sàng.

Nhật ký hệ thống (log máy chủ, gồm địa chỉ IP)

24 tháng, sau đó tự động xoá.

Bản sao lưu cơ sở dữ liệu

Tối đa 24 tháng, sau đó tự động xoá; dữ liệu đã xoá chỉ còn trong bản sao lưu cũ tới khi bản đó hết hạn, không được khôi phục để dùng lại.

7. Quyền của bạn

Trong ứng dụng (Cài đặt › Tài khoản & quyền riêng tư) bạn có thể:

• Xem và sửa hồ sơ, cài đặt, nhóm thông báo.
• Tải dữ liệu của tôi: nhận 1 file nén (.zip) chứa dữ liệu dạng JSON gồm hồ sơ, kho từ, lịch sử học và trận đấu (tối đa 1 lần / 24 giờ).
• Xoá tài khoản (quyền xoá dữ liệu theo Luật Bảo vệ dữ liệu cá nhân) — chọn xoá ngay, không khôi phục hoặc xoá sau 30 ngày (khôi phục được trong thời gian đó): trong ứng dụng, hoặc trên web tại eword.pro.vn/account-deletion (đăng nhập lại bằng tài khoản mạng xã hội đã liên kết để xác nhận chủ tài khoản — không cần cài ứng dụng; hiện hỗ trợ Google, Facebook và Apple sẽ được bổ sung). Hướng dẫn và danh sách dữ liệu bị xoá: eword.pro.vn/delete-account.
• Rút đồng ý nhận tin ưu đãi bất cứ lúc nào.
• Ẩn danh với người lạ, chặn và báo cáo người chơi khác.

Tài khoản đang bị khoá không đăng nhập được vào ứng dụng hay trang web: hãy gửi email tới admin.eword@gmail.com từ email của tài khoản đã liên kết; sau khi xác minh, chúng tôi xoá vĩnh viễn ngay.

Tài khoản Khách: tài khoản Khách không gắn với email hay tài khoản mạng xã hội nào, nên chỉ xoá được trong ứng dụng, trên thiết bị đang dùng tài khoản đó. Khi bạn đã gỡ ứng dụng (hoặc đổi máy) mà chưa liên kết Google/Facebook/Apple, chúng tôi không có cách xác định bạn là chủ tài khoản, nên không thể xoá, xuất hay sửa dữ liệu của tài khoản đó theo yêu cầu. Tài khoản Khách không chứa email, tên thật hay ảnh của bạn. Hãy xoá tài khoản Khách trước khi gỡ ứng dụng, hoặc liên kết Google/Facebook/Apple để giữ quyền kiểm soát dữ liệu. Tài khoản Khách không mở ứng dụng trong 90 ngày sẽ tự động bị xoá vĩnh viễn.

Các quyền khác theo pháp luật (phản đối, hạn chế xử lý, khiếu nại): gửi email tới admin.eword@gmail.com. Bạn cũng có quyền khiếu nại, khởi kiện theo quy định của pháp luật, bao gồm khởi kiện tại Tòa án nhân dân Thành phố Hồ Chí Minh.

8. Bảo mật

Kết nối được mã hoá (HTTPS/TLS). Mật khẩu của bạn do Google/Facebook/Apple quản lý — EWord không lưu mật khẩu. Mã phiên chỉ lưu dạng băm; email của cha mẹ (nếu có) được mã hoá. Quyền truy cập dữ liệu của nhân sự được giới hạn theo vai trò và ghi nhật ký. Khi có sự cố lộ lọt dữ liệu, chúng tôi thông báo cho cơ quan có thẩm quyền và người bị ảnh hưởng theo thời hạn pháp luật quy định.

9. Thay đổi chính sách

Khi thay đổi đáng kể, chúng tôi thông báo trong ứng dụng ít nhất 15 ngày trước khi áp dụng (trừ thay đổi vì lý do pháp lý hoặc an toàn) và, nếu pháp luật yêu cầu, xin đồng ý lại. Phiên bản và ngày hiệu lực ghi ở đầu trang.

1. Who we are

EWord is an app for learning English vocabulary through a word-chain game, operated by EWord Vietnam, No. 2A Phan Chu Trinh, Ho Chi Minh City, Vietnam, tax code 066094006573 ("EWord", "we"). We are the controller and processor of your personal data when you use the EWord app and the eword.pro.vn website.

2. Age

EWord is for people aged 16 and over. We do not knowingly collect data from people under 16. If we learn that an account belongs to someone under 16 without parental consent, we stop processing and delete that account. Parents can tell us at the email in section 1.

3. Data we collect

Account

Identifier from Google / Facebook / Apple; email (only when the provider has verified it); name and profile picture from the provider (used as your initial display name). Guest accounts have no email.

Profile

Display name, avatar chosen from the built-in set, friend code, language, time zone, learning goal, level, sound/notification settings, the "Anonymous to strangers" choice.

Declarations & consents

Age group (under 16 / 16+ — no birth date), consents given or withdrawn with timestamps, IP address, browser/app information, device ID.

Learning

Word bank, review history (including answers you type and response time), lessons, placement test, learning streak.

Matches

Match results, words played, season points, ratings, stickers sent, anti-cheat signals.

Social

Friends, requests, block list, reports you send or receive (reason + note of up to 300 characters).

Device

App installation ID, operating system, app version, push notification token, notification permission status.

Wallet & purchases

Coins, items, transaction ledger; for in-app purchases (when available): the Google Play / App Store transaction ID (we never receive card numbers).

Activity

The days you opened the app in the last 64 days, platform and app version (used to compute aggregate figures).

Technical

IP address and server logs, technical error reports (without personal data).

EWord has no text chat between players (only a fixed set of stickers) and does not access your contacts, location or microphone. The camera is used only when you tap "Scan QR code" to add a friend; images are processed on your device to read the code and are never stored or sent.

4. How we use data

1. Create and maintain your account, sign you in, sync progress across devices.
2. Run learning features (review schedule, lessons) and matches (matchmaking, scoring, ratings).
3. Social features: friends, challenges, leaderboards.
4. Send the notifications you turned on (review reminders, streak, requests…). Promotional messages only with your consent (off by default).
5. Community safety: name filtering, handling reports, anti-cheat, locking violating accounts.
6. Aggregate, anonymous statistics to improve the product (daily active users, retention). We use no third-party analytics tools and do not track you across other apps or websites.
7. Handle purchases and refunds (when available).
8. Comply with the law and resolve complaints.

We do not sell personal data and do not use it for personalised advertising. The app currently shows no ads; if that changes, we will update this policy and ask for consent where the law requires.

We process personal data under Vietnam's Law on Personal Data Protection No. 91/2025/QH15 and its implementing regulations.

5. Sharing

We share data only with service providers needed to run EWord, under each provider's data processing terms:

Cloud infrastructure provider — servers located in Vietnam

Application servers, database, backups — all data in section 3.

Amazon Web Services (S3, CloudFront)

Store and deliver audio files and dictionary content packs — no personal data; the delivery servers receive your IP address when the app downloads a file.

Sentry (error reporting), Grafana Cloud (system monitoring) — servers outside Vietnam

Finding and fixing technical errors — error reports, system metrics and technical logs with personal data removed (no email, names, sign-in tokens or text you type); only a random user ID when needed to trace an error.

Google, Meta (Facebook), Apple

Sign-in — verifying the sign-in token you send.

Google Firebase Cloud Messaging, Apple Push Notification service

Push notifications — notification token, notification content.

Google (Gmail)

System emails — recipient email address.

Google Play, App Store

Payments (when available) — under the store's policies.

What other players see:

• Your display name, avatar, equipped frame and outfit, and your tier and season points on leaderboards.
• Your friend code is shown only to your friends and to people with a pending friend request with you.
• Match details (words played, points per turn) are visible only to the two players in the match.
• With "Anonymous to strangers" on, people who aren't your friends see only "Player #xxxx", with no picture or friend code; your friends still see your real name.

We may disclose data when a competent authority requests it in accordance with the law.

6. Retention

Active account

Until you delete your account.

After you delete your account

You choose: delete now — permanently deleted immediately, cannot be restored; or delete after 30 days — hidden immediately, restorable by signing in again within 30 days, then permanently deleted (guest accounts cannot be restored).

Guest accounts not opened

Permanently deleted automatically after 90 days without opening the app.

Results of matches played with others

Kept, linked to "deleted player" (no name or picture).

Consent and age-declaration records

3 years in anonymised form after account deletion.

Abuse reports and enforcement records

12 months after they are closed / expire.

Permanently banned accounts

Deleted after 180 days.

Inbox notifications

30 days.

Push notification delivery history

90 days.

Sign-in sessions

Expire after 30 days of non-use; records deleted 90 days after expiry or revocation.

Push devices

Revoked after 60 days of inactivity; records deleted 90 days after revocation.

Match event logs (replay, report handling)

90 days (longer while the match is under report, until resolved).

Daily activity data

The last 64 days.

Anti-cheat signals

90 days.

Data export files

24 hours after they are ready.

System logs (server logs, including IP addresses)

24 months, then deleted automatically.

Database backups

Up to 24 months, then deleted automatically; deleted data remains only in older backups until they expire and is never restored for use.

7. Your rights

In the app (Settings › Account & privacy) you can:

• View and edit your profile, settings and notification groups.
• Download my data: receive one compressed file (.zip) with your data in JSON — profile, word bank, learning and match history (at most once every 24 hours).
• Delete your account (your right to erasure under the Personal Data Protection Law) — choose delete now, no recovery or delete after 30 days (restorable during that time): in the app, or on the web at eword.pro.vn/account-deletion (sign in again with your linked social account to confirm ownership — no app needed; Google is supported now, Facebook and Apple are coming). Guide and list of deleted data: eword.pro.vn/delete-account.
• Withdraw consent to promotional messages at any time.
• Use Anonymous to strangers, block and report other players.

Locked accounts can't sign in to the app or website: email admin.eword@gmail.com from the email of your linked account; after verification we delete the account permanently right away.

Guest accounts: a guest account is not tied to any email or social account, so it can only be deleted in the app, on the device using it. Once you've uninstalled the app (or changed devices) without linking Google/Facebook/Apple, we have no way to confirm you own the account, so we can't delete, export or correct its data on request. Guest accounts contain no email, real name or photo. Delete your guest account before uninstalling, or link Google/Facebook/Apple to keep control of your data. Guest accounts that aren't opened for 90 days are permanently deleted automatically.

For other legal rights (objection, restriction, complaints) email admin.eword@gmail.com. You may also file complaints or lawsuits as provided by law, including a lawsuit at the People's Court of Ho Chi Minh City.

8. Security

Connections are encrypted (HTTPS/TLS). Your password is managed by Google/Facebook/Apple — EWord never stores passwords. Session tokens are stored only as hashes; parents' emails (if any) are encrypted. Staff access to data is limited by role and logged. If a data breach occurs, we notify the competent authority and affected people within the time limits required by law.

9. Changes to this policy

For significant changes we notify you in the app at least 15 days before they take effect (except changes required for legal or safety reasons) and ask for consent again where the law requires. The version and effective date are shown at the top of this page.
